Very broad office and accounts administrative position covering everything a small business needs to run efficiently. There is a lot of correspondence both on the phone and over email ensuring the smooth running of the studio. Dealing with everyday account

Answering incoming calls

Organising incoming emails

Opening post

Photocopying, scanning, shredding documents


Logging timesheets

Office stationery

Salesforce – keeping this database up to date with all our contact’s details

E-newsletter system – keeping details up to date

Travel arrangements

Helping with marketing duties


Meet and greet visitors

Keeping office tidy


Print Management

Requesting print quotes

Allocating Purchase Orders

Chasing printers for deadlines and proofs

Organising and tracking deliveries

Project Assistance

Opening and closing job cards

Helping to put together presentations for client meetings

Checking completed websites are as expected by testing navigation and links

Assist on photo shoots with arranging and prepping products / clothes for models

Accounts (XERO software)

Check and input supplier invoices and statements

Preparing sales quotes

Preparing and sending sales invoices

Calculating project profit

Reconciling Xero (generally once or twice a week)

Wage journals

Top Fat Towers – basic spreadsheet accounting

Web and Social Media

Regularly update the ‘News’ section of The New Fat website

Upload testimonials onto website

The New Fat social media – plan social media posts in advance where possible and post out daily updates onto TNF Twitter and Facebook

Working Week

Monday – Friday 9:00am – 5:30pm 37.5 hrs pw


Requirements & Prospects


Ideally a minimum 4 GCSE’s C and above Including Maths, English and ICT (or equivalents)

Desired Skills

This position requires someone with outstanding communication skills, positive outlook and a desire to always exceed expectations, giving the high standard of service our clients have come to expect.
They will need to use their initiative when working under pressure and be able to work alone as well as in a team, following procedures that set us apart from our competitors.
It is a friendly, fast moving, high-pressure environment where they will be working directly under two directors. Good telephone manner as well as a professional way of dealing with clients and suppliers face to face is essential. The majority of work is done on a computer so general IT skills are required.
Ideally the successful applicant will have experience using Xero accountancy package and have a knowledge of the print industry – but not essential.
Full training will be given.
