Training and Product Support (TPS) Apprentice
The GS TPS department is responsible for delivering consistent support and training services for new and existing AVEVA products to the regional organisation while helping to ensure products are robust and fit-for-purpose.
This role provides administrative support to the TPS Projects Team and the widely distributed TPS organisation
You will receive practical on-the-job training, which means you’ll be paid a wage and receive the usual benefits of employment such as holiday pay. No two days are the same for our Business Administration Apprentice; you will act as a project coordinator, supporting different projects and teams as an integral part of the TPS team. A college tutor will visit you in the workplace once a month, providing one-to-one mentoring ensuring you are on the right path towards securing your qualification.
The role sits within the Training and Product Support department which are responsible for delivering consistent support and training services for AVEVA products while helping to ensure products are robust and fit-for-purpose.
We’re looking for someone will the ability to work for a fast-paced technical team, meaning communication skills are crucial. You will come across problematic situations where enthusiasm and tenacity are needed. An understanding of MS Office and Outlook is ideal, with knowledge of MS Project being an advantage.
• TPS Projects/Portal Administration
o Working with the TPS Projects Team regarding the TPS resource activities and supporting to collate this information into the TPS systems and plans.
o Maintain the TPS Resource Management system
o Maintain TPS Portal pages and content.
o Support the TPS Projects Team with the project management of the TPS deliverables for the AVEVA product releases.
o Assist TPS Projects Team with Defect Management for the AVEVA Releases.
o Assist with creation of the TPS Reports and project status.
o Format training documents and maintain the central storing and worldwide distribution of all training material generated by TPS.
• Timesheet Administration
o Creating and allocating TPS Resource with relevant tasks in the Timesheet System.
o Supporting TPS Projects Team to maintain the Timesheet system.
o Produce weekly and ad hoc TPS Timesheet Reports.
o Maintaining TPS holiday and absence records.
• Event/Meeting and Travel Administration
o Help schedule, organise and expedite internal TPS workshops/ training as they are offered to our regional resources.
o Organising meetings, sourcing meeting rooms, issuing invitations; notifying reception, catering requirements etc.
o Making TPS travel arrangements in conjunction with Travel Coordinator and Facilities.
o Support the TPS Management Team and TPS Team Leads.
o Supporting the TPS teams with administrative and coordination tasks.
o Updating and maintaining the TPS Contact Lists.
o Monitoring the TPS mailboxes and updating the TPS Calendar with the team’s activities.
• General administrative tasks for the TPS department
Key Working Relationships
• Close working relationship with the TPS Projects Team and Team Leads/Managers.
• Close working relationship with all TPS personnel;
• Contact with a wide range of AVEVA personnel on behalf of the GS team will be required
Working WeekMonday to Thursday 9am to 17:30pm Friday 9am to 17:00pm
Requirements & Prospects
QualificationsA minimum of 5 GCSE’s C and above Including Maths, English and ICT (or equivalents)
- Experience of working within a busy admin role, ideally within a technical environment.
- Ability to work effectively with technical and administrative personnel.
- Excellent communication skills – both verbal and written.
