Thornley Kelham Ltd are looking to recruit an Office Administrator to join a small dynamic team in a growing vintage and classic car restoration business based in South Cerney. Due to internal promotion, we are looking for someone highly organised and energetic to take on an office support role carrying out administrative tasks.

You will report to the PA/Office Manager on a daily basis; to ensure all administrative tasks are carried out in an efficient and timely manner as possible. This role will evolve over time and the opportunity to take on more responsibilities will depend on your efforts.
The successful candidate must be extremely organised with the ability to multi task, possess excellent attention to detail and be a strong team player with a ‘can do’ attitude and a willingness to learn.

• Manage the telephone switchboard/transfer/calls take messages
• Welcome visitors and offer refreshments as required
• Provide support and administrative duties to Office Manager/PA
• Support the service department with various administrative duties including maintaining and updating the client database, contacting customers regarding MOT and Service reminders, sending emails, assist with preparing estimates, raising invoices and general office duties
• Provide administrative support to the Workshop Manager as and when required
• First point of contact for workshop employees for booking annual leave
• Track holiday, sickness and absence and record and diarise accordingly
• Communicate with PA/Accounts department regarding staff sickness, unpaid leave and record/diarise accordingly
• Maintain staff database of pay review dates/birthdays and Inform the PA/Office Manager accordingly
• Keeping employee folders up to date and adding notes accordingly
• Keep track and update the transport calendar accordingly
• General office duties: typing, scanning, laminating etc
• Minute taking at departmental office meetings
• Maintain/order office supplies
• Book travel and accommodation under guidance
• Keep all kitchen and communal areas tidy and presentable
• To assist the directors in PA’s absence

Working Week

40 hours per week Monday to Friday 9.00 am to 5.30 pm.

Qualifications

A minimum of 5 GCSE’s C and above Including Maths, English and ICT (or equivalents)
